If the guest has not committed to storing their personal data, they will be anonymised x number of months after their last bill. You decide in Picasso at what point this anonymisation will occur. Please note that there are strict rules in place regarding how long data may be stored without consent which vary by country. We strongly recommend that you read and interpret the rules yourself on the Data Commissioner website and EU GDPR website.

We have already made Picasso GDPR ready and capable of implementing the required changes as and when required.
If we were to just automatically anonymise all guests you would be unable to contact current and future guests in order to seek their consent for data storage. Instead we have made some new features in Picasso that allow you to manage this yourself. This is free of charge.

It is possible to order GDPR Digital which sends individual links to your guests to a website where the guest can manage their consent to various forms of data processing. In this way, you give your guests the responsibility for updating their consent instead of manually obtaining the consent and updating it in Picasso.
GDPR Digital costs around €1 per room per month.

Additional to this you have the option to order training in the system, which is invoiced with a standard hourly price of €130. A review of the GDPR relevant functions will usually take approximately 1 hour.

Our consultants will be running training sessions in GDPR. These should be ordered some time in advance. As the legislation has come into force at the same time for all hotels we have high demand for training.

GDPR is EU legislation aimed at strengthening and harmonising the protection of personal data in the EU. GDPR is the abbreviation of; General Data Protection Regulation.

The GDPR Regulations, which will enter into force in May 2018, are basically a tightening of existing legislation. For the first time significant sanctions will be imposed on companies that do not comply with the Regulations. Companies that violate the law may be fined up to 4% of their annual turnover according to Politico.eu.

Every business, including our customers, must comply with the rules or they risk exorbitant fines.
Therefore Techotel has sent letters to all its customers regarding how this will affect the guest database in Picasso.
Read the document carefully and save for later. Contact Techotel and inform us as to your choice regarding whether you will be using GDPR standard or GDPR Digital.
